Terms of Use

The Graduate School of Medicine and Faculty of Medicine will establish resting facilities for its female students and staff. The Committee for Gender Equality will be responsible for installing these facilities and the General Affairs Office of the Graduate School of Medicine and Faculty of Medicine will oversee the actual operation and management in cooperation with relevant members of the Committee for Gender Equality and other faculty members in charge of resting rooms.
1. Utilization of the facilities (eligibility and purpose of use)
(1) Eligibility
- In principle, usage of the resting rooms will be restricted to female researchers and staff members (faculty, employees, graduate students, undergraduate students and research students) in the hilltop area (fundamental research and healthcare)
- Except in the event of an emergency, male students and staff will not be allowed to enter the women’s resting rooms.
(2) Purpose and conditions of use
- Persons wishing to use the resting rooms must complete online user registration procedures beforehand and obtain their registration number, as well as the security code to enter the facilities, from the General Affairs Office. They may then use the facilities for the following purposes:
- To rest for a short period of time when feeling unwell—for example, if you are pregnant, have just given birth, or are suffering from menstrual discomfort, period pain or other symptoms associated with illnesses peculiar to women. Please do not use these facilities if you are suffering from fever or show potential symptoms of a communicable illness.
- To express and store breast milk
- Usage of the facilities for purposes other than those stated above is prohibited. Initially, users will not be allowed to bring children into the facilities, hence the rooms may not be used for breastfeeding.
- Non-registered users may not, in principle, utilize the facilities.
(3) Basic rules ertaining to usage, entry and exit (Revised underlined part on January 4, 2022)
- The resting room can be used only if you have received an "ENTRY OK" notification from the "University of Tokyo Health Management Report Form".
- If you developed symptoms of the common cold such as a fever of 37.0 degrees or higher or a cough after you have entered the university, do not use the women's rest room, but go to a doctor or go home.
- If you are diagnosed with COVID-19 within two weeks after using the resting room, contact the General Affairs Office.
- You may register your name or registration number and time of entry/exit in the google calendar (URL will be provided to registered users by the management.) in advance.
- Every time you use a resting room please record the following information in the Facility User Log-your name (or your registration number) and the time of entry and exit. For any other comments or requests, please e-mail the General Affairs Office.
- In principle, please use the resting rooms closest to your classroom, but you may use the available resting rooms in any other building, if necessary.
- You may use the facilities generally between 9 a.m. and 5 p.m. on weekdays. If you wish to use them outside these times on a weekday, please inform the General Affairs Office beforehand (by 4:30 p.m.) by e-mail. If you unexpectedly need to use the resting rooms outside regular hours, you may do so but please e-mail the General Affairs Office by 9 a.m. the next morning indicating the time and purpose for which you used a particular facility.
- Please wash your hands and disinfect them with alcohol when entering the room. Take all trash home with you, including the paper towels you used to wipe your hands (you may use the plastic bags provided for this purpose).
- During use, please open a window or turn on an exhaust fan for ventilation.
- After use, disinfect the area you have touched by hands by wiping with alcohol and paper towels.
- If you run out of supplies such as alcohol and paper towels, please contact the General Affairs Office.
- After use, please return the facilities to their original state.
- Please leave the room promptly after you have finished using it and return to your research, work or studies.
- Usage of the resting rooms is your personal responsibility and the management will not be held liable for accidents or other incidents within the facilities.
2. Notification of security code required to enter the facilities/procedure for changing your security code
- Users will be notified directly of their security code by the management.
- Registered users may not disclose their security code to third parties.
- The management reserves the right to change a user’s security number, if necessary, in which case the registered user shall be notified immediately of the change.
3. Using the resting rooms to express and store breast milk
- You must bring your own tissue paper, gauze, breast pumps, containers for breast milk and other items necessary for expressing breast milk.
- Please inscribe your name on all items you bring in for expressing and storing breast milk. These items may be stored within the facility (use the cabinets provided in Buildings No. 1 and 3). The management reserves the right to discard items not marked with a name. Further, the management shall not assume any responsibility for theft or loss of personal belongings within the facilities.
- Please use the microwave oven provided at the facilities to sterilize containers for storing breast milk.
- Please maintain neatness within the facilities with due consideration to other users.
4. Disposal of trash
- Please take away all your trash with you when you leave the facility (in Buildings No. 1 and 3 you may dispose of the trash in the garbage bins located in the corridor, and in the garbage bins located in the toilets in Building No. 5).
5. Usage of refrigerators and freezers
- Ensure that you write your name and the date on all items that you put into the refrigerator or freezer. The management is not responsible for the mistaken use or theft of items from the refrigerators and freezers.
- Please do not leave things in the refrigerator or in the freezer overnight. Ensure that you take everything with you when you leave the facility. Items that have been left overnight or do not have the user's name on them will be disposed of at the management's discretion.
6. Usage of the microwave oven
- Please use the microwave oven to sterilize breast milk containers and to heat food and drinks to be consumed while resting.
- Please refrain from prolonged use of the microwave, as this could cause inconvenience to other users and will defeat the intended use of the resting facility.
7. Consuming food and drinks within the resting facilities
- In principle, users may consume only food and drinks that are required for recuperation.
8. Maintaining cleanliness and hygiene
- Please cooperate in helping us maintain cleanliness and hygiene in the rooms at all times and ensure that you clean up after yourself before leaving the room.
- If you dirty the fixtures or anything else in the room considerably, please inform the management immediately.
- Female cleaning personnel have been employed to regularly clean the resting rooms. The cleaning days, however, are not fixed and no prior notification will be made in principle regarding cleaning times. Users will not be allowed to use the facilities while cleaning is in progress.
- In addition to the above cleaning times, if the management determines that special timings must be set to encourage cleaning of the facilities by the users themselves, notices will be sent out seeking the participation of all users.
9. Other precautions and prohibited items
- Do not bring dangerous substances or objects into the facilities. Any suspicious objects or objects that are determined to be unsuitable for the intended use of the resting facility, will be removed from the room at the discretion of the management.
- Users who are not sick may not use the facilities for a nap.
- Do not use laptops or similar devices in the resting rooms.
- Ensure that you do not cause any inconvenience to other users.
- If you experience any problems while using the facilities, please contact the management immediately.
- Based on the above, if a violation of any of the Terms of Use is identified or it is determined that the facilities are being used inappropriately, the management reserves the right to expel the person in question from the facilities.
10. Communication of messages from the management to users
- In principle, any messages to users regarding management of the facilities will be communicated by e-mail as and when necessary. In case of an emergency, however, the management may telephone users individually.
11. Other
- The management reserves the right to revise, amend or add to these rules at any time as may be necessary.
